Reservations and Ordering
1. What equipment do you rent?
We provide tents, tables, chairs, and select party accessories for backyard parties, graduation celebrations, showers, birthdays, family gatherings, corporate events, and other special occasions. Visit our Products page or contact us to confirm current availability.
2. How far in advance should I reserve my rentals?
Reserve as early as possible, especially for weekend events and graduation season. May and June dates often fill quickly. Booking four to eight weeks ahead provides the best opportunity to secure your preferred equipment, although we accommodate shorter-notice requests when availability and scheduling allow.
3. How do I request a quote?
Provide your event date, delivery location, estimated guest count, event times, and the equipment you are considering. For tent rentals, we may also ask about available space, the installation surface, site access, underground utilities, and whether staking is permitted.
4. What is required to secure my reservation?
Your reservation is secured once the rental agreement is completed and the required 50% reservation payment is received. A quote or inquiry alone does not reserve equipment or your event date.
5. When is the remaining balance due?
The remaining balance is due no later than seven days before your event. Please plan accordingly so your reservation remains confirmed and delivery can proceed as scheduled.
6. Can I place a small rental order?
Yes. We try to be flexible and accommodate smaller orders whenever possible. Availability may depend on the items requested, delivery location, event date, and scheduling requirements. Contact us to discuss what you need, and we will let you know what options are available.
7. Can I change my order after booking?
Changes may be requested, but additions are subject to equipment availability and delivery capacity. Reductions are subject to the cancellation and refund schedule below. Changes made after delivery or setup may require an additional trip, labor, and related charges.
Cancellations and Refunds
8. What is your cancellation and refund policy?
Cancellation and order-reduction requests must be submitted in writing, preferably by email, by the person who signed the rental agreement or their representative. Refund eligibility is based on when we receive the request relative to the scheduled delivery date:

Important: The same schedule applies when reducing equipment quantities. No refund is available for specialty-procured equipment or for a same-day cancellation, order reduction, or refusal of delivery. Approved refunds will be issued within 30 days of the cancellation date.
Delivery and Scheduling
9. Do you offer customer pickup?
Not currently. Solon Party Rentals is a delivery-based business and does not operate a public storefront or customer pickup location.
10. What areas do you serve?
We are based in Solon and primarily serve the Greater Cleveland area, including communities in portions of Cuyahoga, Summit, Geauga, and Portage counties. Service outside our standard area may be available by custom quote.
11. How much is delivery?
Standard delivery within 20 miles is $60. Delivery from 21–30 miles is $120, and delivery from 31–40 miles is $180. Locations beyond 40 miles require a custom quote. Distance is calculated from our business location. Additional charges may apply for extra trips, unusual access conditions, or added labor.
12. When will my rentals be delivered and picked up?
Delivery and pickup windows are coordinated before your event and depend on the event schedule, location, weather, and delivery route. Tell us in advance if your venue or property has restricted access times. A requested exact arrival time or non-standard service time may require special scheduling and an additional charge.
13. Do I need to be present for delivery or pickup?
Not always. If equipment and tent placement have been approved in advance and our crew has clear access, we may be able to complete service without you present. Someone must remain available by phone, and all gates, buildings, or access points must be unlocked.
14. What happens if the site is not ready when the crew arrives?
The delivery and installation areas must be clear, accessible, and ready before our scheduled arrival. Delays, blocked access, parked vehicles, incomplete site preparation, or unmarked hazards may result in waiting, rescheduling, or additional labor and trip charges.
Tents and Site Preparation
15. How do I know what size tent I need?
Tent size depends on your guest count, seating arrangement, buffet or serving tables, entertainment, and desired open space. Tell us how you plan to use the tent, and we can help recommend an appropriate size and layout.
16. How much space is required for a tent?
A tent requires more space than its listed dimensions because room is needed for stakes, anchoring, and safe installation. As a general example, a 20-by-20-foot tent may require an approximate 30-by-30-foot clear area. We will confirm the requirements for your selected tent.
17. What type of surface can a tent be installed on?
Our standard tent installations are intended for level grass or another suitable staking surface. Installation on pavement, concrete, patios, driveways, or other hard surfaces may require ballast or a different installation plan and must be discussed before booking.
18. What must I do about underground utilities?
Customers must identify private underground lines and systems that public utility marking services may not locate, including irrigation systems, invisible pet fences, landscape lighting, private electrical lines, septic components, and other underground features. All hazards must be identified before installation because tent stakes extend into the ground.
19. What if stakes cannot be used?
If staking is prohibited or unsafe, ballast may be required at an additional charge. Tell us before booking if the tent will be placed on a driveway, patio, parking area, or any location where staking is restricted. Ballasted installations require additional equipment, labor, and space.
20. Do I need a permit for my tent?
Permit requirements vary by municipality, property, venue, tent size, and event type. Unless otherwise agreed in writing, the customer is responsible for determining whether a permit or property approval is required. Contact your local building or fire department if you are unsure.
21. Can I move a tent after it has been installed?
No. Customers and guests must not move, loosen, remove, or alter tents, stakes, anchors, ropes, or ballast. Contact us if you believe an adjustment is necessary. Relocating an installed tent requires professional teardown and reinstallation and may not be possible.
Tables, Chairs, and Equipment Care
22. Does table and chair rental include set-up and placement?
Tent installation is managed by our crew. Tables and chairs will be placed near the desired location, but individual placement and arrangement may require an additional setup service. Your quote will identify what is included. Unless breakdown service is arranged, tables and chairs must be folded, stacked, and returned to the agreed collection location before pickup.
23. Do you clean up after the event?
Event cleanup, trash removal, food removal, and decoration removal are not included. Rental equipment must be free of food, trash, decorations, tape, staples, markers, paint, and other materials before pickup. Additional charges may apply for excessive cleaning or equipment that is not ready for collection.
24. What happens if rental equipment is damaged or missing?
The customer is responsible for rental equipment from delivery until pickup. Missing or damaged items may be charged at the cost of repair or current replacement. Do not use staples, nails, strong adhesives, paint, markers, or unauthorized decorations on rental equipment.
Weather and Safety
25. What happens if there is severe weather?
Customer safety comes first. Tents provide shade and protection from ordinary conditions, but they are not storm shelters and cannot guarantee protection during severe weather. Solon Party Rentals may delay, modify, decline, or discontinue installation or service when conditions are unsafe. Customers are responsible for monitoring weather during the event and directing guests to a permanent building or other safe shelter when severe weather threatens. Do not remain under a tent during high winds, lightning, or other dangerous conditions. In an emergency, call 911.
